Set up and print deposit slips

When you set up your system properly, you can print your deposit slips onto pre-printed forms flawlessly and with ease.

Print deposit slips setup #

Before you print your first deposit slip, perform the steps in the following sections to ensure that the information on your deposit slips will print in the correct areas of your pre-printed forms.

Note: You can also find the following steps in QuickBooks Online by selecting Print then Setup and alignment from the Bank Deposit window.

Print a sample deposit slip #

The first step in setting up deposit slip printing is to print a sample deposit slip and check how it lines up with the deposit slip form.

Tip: We recommend that you print your sample on regular, blank paper to allow you to correct the alignment without wasting your pre-printed forms.

To print a sample:

  1. Select + New.
  2. Under Other select Bank Deposit.
  3. Select Print.
  4. Select Setup and alignment to open the Print deposit slip setup page.
  5. Select View preview and print sample.
  6. Select Print.
  7. Place your printed sample deposit slip on top of a blank pre-printed form and hold both up to the light.
  8. If the printed information lines up with the correct areas of the form, select Yes, I’m finished with setup in the Print window. If not, select No, continue with setup.

If your printed page is not aligned with your form, the next step is to set up Adobe Reader.

Set up Adobe Reader #

For more consistent results, you can download and use Adobe Reader to control printing in QuickBooks Online.

  1. Select the on-screen link to download the latest version of Adobe Reader.
  2. Set Adobe Reader as your default PDF viewer.
    You can select the on-screen link for information about setting a default PDF viewer.
  3. Select View preview and print sample and select Print.
  4. Compare the print to the pre-printed form and select Yes, I’m finished with setup if the information lines up with the form.
    If not, select No, continue setup.

If your printed page is still not aligned with your pre-printed form, the next step is to fine-tune the alignment of your printed page.

Fine-tune alignment #

Note: You can go directly to the fine-tuning screen from the Bank Deposit window by selecting Print, then Setup and alignment, and selecting No, continue setup twice.

To fine-tune your printed page’s alignment to match your pre-printed forms:

  1. Compare the alignment grid in the Preview window with the grid on the Fine-tune alignment page.
  2. Drag the on-screen grid to match its location on your printout.
    From this position, QuickBooks Online determines how to adjust the alignment and changes the Horizontal and Vertical offsets as necessary.
    You can select What do these numbers mean? to learn more about horizontal and vertical offsets.
  3. Select View preview and print sample and select Print to make sure the information on your printed sample deposit slip lines up with the correct areas of your pre-printed form.
  4. If the sample lines up with your form, select Finish setup.
    If not, continue to fine-tune the alignment until it matches.

If the alignment tool is not saving your changes, do the following:

  1. Go to the fine-tune alignment screen.
  2. Drag the on-screen grid to match its location on your printout.
  3. Select Finish setup, then try printing a sample (See Print a sample deposit slip section for steps).
  4. Repeat step 1 to 3 until sample print lines up with your form.

You can now print your deposit slips.

Print deposit slip #

Once you have set up deposit slip printing, you can print a deposit slip, provided you have:

  • Created a deposit transaction from the Bank Deposit window.
  • Specified Undeposited Funds as the account when receiving payment against an invoice or when creating a sales receipt

In addition, if you’re printing deposit slips instead of just a summary, make sure that you have printable deposit slips loaded in your printer.

To print deposit slips:

  1. Select + New.
  2. Under Other select Bank Deposit.
  3. In the Bank Deposit window, select the customer payments you want to deposit.
  4. Select Print and specify whether to Print deposit slip and summary or Print deposit summary only (useful if you’ve filled out deposit slips by hand). You can also select Setup and alignment to check your print alignment.
  5. Select Print, and, depending on your browser, select the Print icon either from the floating toolbar on the Preview page, or from the toolbar on the separate Preview window. If the preview appears blank, or if you are prompted to manually download the PDF file and no Print icon appears on screen, download the PDF file, open it, and print it from there.
  6. Close any open previews or print windows when you are finished printing .
  7. Select Save and close.

Your deposit slips or summaries are printed as specified.
